Short description

VisitDenmark aims to strengthen its presence in the Polish market and increase awareness of Denmark as an attractive travel destination. We therefore seek an external supplier (company or consultant) to handle representation, industry engagement, and press relations in Poland with the objective of increasing the demand for travel to Denmark.
The purpose of the assignment is to support VisitDenmark’s market strategy in Poland through proactive activities, relationship-building with relevant stakeholders, and increased visibility of Denmark in the media. The assignment can be broken down into the following three activity areas: 1) Travel trade activities; 2) Press and PR activities and 3) advisory services and reporting. Each activity area is elaborated below:
1. Travel Trade Activities
•Establish and maintain relationships with key stakeholders in the Polish travel trade sector (tour operators, OTAs, agencies, etc.).
•Implement sales-promoting activities focusing on Denmark as a travel destination.
•Contribute to product development and ensure that Danish travel products are represented in relevant channels.
•Ensure that more tour operators expand their programmes with Denmark-related products.
•Plan and conduct meetings, workshops, and, where relevant, participate in industry fairs in collaboration with VisitDenmark.
•Implement joint B2B2C campaigns.
2. Press and PR Activities
•Establish and maintain relationships with relevant journalists and media outlets in Poland.
•Prepare and distribute press releases and conduct proactive media outreach promoting Denmark as a travel destination.
•Coordinate and execute press trips in collaboration with VisitDenmark and Danish partners.
•Organise press events and media gatherings.
•Monitor and report on media coverage and ensure visibility in relevant media channels.
3. Advisory Services and Reporting
•Provide quarterly reports on activities, market developments, and results.
•Offer ongoing advice on trends and opportunities in the Polish travel market.
•Participate in virtual status meetings with VisitDenmark.
VisitDenmark will pay a fixed monthly amount, which is to cover all expenses under the contract.
Contract Period
The contract is expected to run from 1 February 2026 to 31 December 2027, with the possibility of extension to the year of 2028.
The Supplier shall be entitled to a monthly fee of EUR 4,500.
Tender Timeline
•The tender will be available on udbud.dk from 10 December 2025.
•Questions may be submitted in writing by 17 December 2025 via Ethics.
•Answers to questions will be provided in writing no later than 10 January 2026 via Ethics.
•The supplier’s proposal must be received by VisitDenmark no later than 15 January 2026 at 12:00 (noon).
•VisitDenmark is expected to announce the outcome of the tender no later than 24 January 2026.
