This is a Request For Information. This document is not a prior information notice, a procurement notice, a contract notice or an invitation to tender. The purpose of the publication of this request for information is not to start a tendering process. This is a request for information submitted as part of a preliminary study and a market survey. Aalto University is looking for an eIDAS compliant service for electronic signatures. The signing needs are ranging from a simple click-to-sign to advanced electronic signatures confirmed via bank ID’s or mobile certificate and everything in between. As the result of the potential tendering process following this request for information, Aalto will have a contract with one electronic signature service provider. Aalto University is looking for an eIDAS compliant service for electronic signatures. The signing needs are ranging from a simple click-to-sign to advanced electronic signatures confirmed via bank ID’s or mobile certificate and everything in between. Capability for a Qualified electronic signature would be a plus. Documents to be signed will include e.g. internal decisions and documents, commercial contracts, employment contracts, study related certificates, etc. The tool shall be integrated to various signing processes generated in various other systems. The signed documents shall be retrieved from the tool via an API for long term storage elsewhere. As Aalto university is a public organization, many of our signed documents will be public, hence minimizing unnecessary inclusion of personal data of the signatories is of importance to us. E.g. inclusion of Finnish national PIN (personal identification number, HETU) in the signed document is in many cases unacceptable. Ease of use is also important as well as the accessibility of the end user views and processes.

Please include a short description of your company and your electronic signature solution to the e-mail.
Aalto will send a questionnaire to to the suppliers who have replied to this Request for Information.
Also, if Aalto will start a procurement process, the suppliers who have replied to this Request for information will have a possibility to review and comment the procurement documentation and requirements before the invitation to tender is published.
Aalto may also arrange meetings with the suppliers who have replied to this Request for Information to discuss and learn more about their electronic signature solution.
